How Does a Data Transfer to Gym Insight Work?

Choose an Export Strategy

First, decide on one or two data transfers*. In most cases, we recommend two. The purpose of the first is to test and perfect the transfer for your specific data files, which typically takes about a week. The final data transfer will be the complete member database with fresh data and is usually applied the same day as it is received, so that Gym Insight is up-to-date with your member data.

Schedule Your Transfer

Second, secure your spot. Data transfers are a top priority for us, but we’re on a first come, first served basis, and we may be busy assisting other customers. To avoid delays with your data transfer, contact us as soon as possible and sign up for your transfer, to ensure you stay on schedule.

Request Your Export

Next, request data from your current software provider. Set a date that works for everyone for the data transfer(s). Typically, this will be 2 to 4 weeks in advance, and your provider may charge a separate fee. Let the provider know that you want the most information possible to be included in the data export. If there are members or data that you don’t want imported into Gym Insight, we can accommodate.

Planning Your Import

Prior to receiving the exported data, we may ask questions about what information should be included when the data is processed. Whether it’s excluding certain canceled members or adding tags to others – we can accommodate most requests. Also, we will help plan your last billing date with your provider and first billing date with Gym Insight.

Initial Data Import

As soon as we receive that first export file, we'll import a sample of members into Gym Insight and review it with you to see how it looks. Based on your feedback, we will make the necessary changes to the import process, then import and review another sample. We repeat these steps until you’re completely satisfied.

Final Data Import

On the day of receiving the final export from your currrent software provider, we import all member data that we receive. After one final review, you are ready to go live!

*Note - if you choose to have only one data export from your current software provider, we will be unable to perform step #5, and will have to import any received data quickly, so that data in Gym Insight will not get out of sync with your previous software, and that your members can be accessed and billed as quickly as possible.
